JOB DESCRIPTION –Administrative Coordinator

Hours per week: 16

Pay per hour: $18

Desired start date: Monday February 6th, 2012

 

Canada’s oldest environmental not-for-profit, the Society Promoting Environmental Conservation requires a part-time Administrative Coordinator for our office in Kitsilano. Responsibilities include monthly bookkeeping, membership and donation processing, answering inquiries from the general public and supporting program staff and working board of directors in program development and implementation, preparing proposals and monitoring budgets.

 

In this role, attention to detail, experience in bookkeeping, strong communication skills and ability to work under minimal supervision is essential. Experience with leadership, fundraising and writing proposals is desired. The successful candidate will also have to demonstrated ability to plan and think strategically, develop and improve work procedures, and use strong analytical skills to measure work and project outcomes. In addition, the candidate must also demonstrate interest in environmental issues.

 

WORK PREFORMED:

 

Financials

  • Prepare and submit monthly cheque requisitions, invoices, staff time sheets, etc. to accountant
  • Review and report on monthly financials to the Board of Directors
  • Assist Treasurer and program staff in creating budgets and cash-flow reports

 

General Administration

  • Co-write funding applications, provide supporting documents and issue letters of support for other NGO’s when required
  • Answer inquires from media and members of the public regarding the organization and environmental issues
  • Ensure that the Society fulfill its legal obligations e.g. filing of the annual Charity Information Return, WCB, etc.
  • Plan and coordinate the composition and distribution of the Society’s annual report
  • Trouble shoot and assist program staff with computer issues, coordinate equipment leases, etc.
  • Update and maintain files, coordinate office lease agreements, storage and order office supplies when needed.
  • Together with the Outreach and Project Facilitator, maintain and create website content

 

Membership & Donation processing

  • Process monthly donations, issue tax receipts and thank you-letters
  • Plan and coordinate bi-annual membership mail out
  • Assist the Outreach and Project Facilitator in creating content for bi-monthly e-newsletter to members and newsletter subscribers
  • Follow up on lapsed membership and answer questions from members and donors
  • Work with board of directors to increase number of annual and monthly membership and donations
  • Maintain and solicit new membership benefit partnerships with local businesses

 

Staff and Volunteer Management

  • Assist with creating job descriptions, hiring, and supervising summer interns and volunteers when needed
  • Assist the Outreach and Project Facilitator in recruiting volunteers for administrative and campaigns projects

 

Program & Event Coordination

  • When needed, assist with event planning, i.e. coordinate insurance, budgets, staff, volunteers, sponsors, marketing, reports and event evaluations.
  • Work together with the waste, food and energy committee to plan and execute programs and events.

 

QUALIFICATIONS

  • Experience in bookkeeping and budgets
  • Experience or interest in fundraising and membership development
  • Comfortable working under minimal supervision
  • Enjoys working on a wide range of tasks and is able and willing to create and improve working procures
  • Available to attend monthly board meetings and annual board retreats  
  • Experience leading projects and coordinating events
  • Willing to sit on at least one of SPEC’s committee’s
  • Experience in working with and managing volunteers and student interns
  • Demonstrated leadership and initiative
  • Refined professional writing skills and ability to generate polished written materials
  • Experience with design, web content management and/or social media is an asset
  • Public speaking and presentation skills are an asset
